Best Accounting Tools for Small Businesses

March 27, 2026

Every small business owner constantly searches for new and innovative ways to cut costs and improve the efficiency of a company.

There are numerous strategies for improving front-line services, but some business basics are often put on the back burner. Top business advisors encourage small business owners too look at available options for reducing accounting costs as an option for enhancing an organization's bottom line.

Too many smaller companies are forced to hire accounting firms or staff members to deal with routine accounting requirements. While it's true, those functions must be dealt with, the cost for doing so are frequently staggering. That's why small business owners are now exploring ways to automate some accounting functions.

Payroll Shortcuts

Keeping up with payroll has always been a time-consuming process for small businesses. New software that’s designed for smaller organizations easily automates the majority of payroll chores and does so accurately and smoothly.

Tracking benefits is easy with the right software solutions. Employees then don’t have to worry about errors computing sick days or paid time off. Automated programs will even send out surveys to employees to determine if changes or improvements would make the system function better.

Payroll taxes have always vexed employers, but new software automates the process and minimizes the potential for errors.

Track Accounts Receivable

Again, software options automate the process, cutting costs and making the process easier for clients. As with other forms of accounting automation, human error and staffing expenses will be a thing of the past.

Payment options make it simple for small businesses to incorporate online payment strategies, including credit cards and ACH payments. POS solutions and mobile device applications go a long way toward moving a company forward in a competitive market.

Sales Tax Compliance Has Never Been Easier

Sales taxes are a reality for the majority of businesses. Because of this complying with local regulations can be costly for a smaller business. Emerging software solutions are designed to comply with virtually all sales tax regulations companies face.

Currently available software solutions easily integrate with typical accounting software organizations are already using, meaning the costs of adopting a sales tax software package is not complicated.

Tracking Expenses

When tracking employee expenses is an issue, traditional strategies called for an employee to monitor each employee’s expenses and enter them in the company’s accounting system. While new software automates the process, solving another costly issue employers typically have to deal with.

What’s the Downside?

There really are no downsides here, and the software is constantly evolving as new needs are assessed or issues develop. While none of the software is free, the costs are minimal in comparison to keeping extra employees on staff or contracting an outside service provider.

Business systems are always changing, and it pays to explore emerging options carefully before making any changes in the way a company operates. However, automated accounting functions are simple solutions for cutting costs while, at the same time, enhancing a company’s overall efficiency.

You might find that this resonates a bit Here are the steps (and experiences): This is the best idea ever!! This will be fun. This is harder than I thought. This is going to be a lot of work. This sucks and I have no idea what I’m doing. #%@}!!!!!!! Okay, but it still sucks. Quick, let’s call it a day and say we learned something. Hmm… Hey! Wow. This is one of the things I am most proud of. Yes, it’s emotional. Yes, it’s inevitable. But this isn’t just about things that end up being “great”… I’d submit that this emotional journey is one that transcends goodness or greatness or even a so-called mediocre project; I’ve experienced this lifecycle for projects that ended up entirely sucking from end-to-end. But the point is clearly the journey. Strangely, even though we know this journey to be tried and true, it’s still doesn’t give us much comfort and there’s very little we can actually do with this information. In other words, our awareness of the journey ahead doesn’t manifest anything useful and doesn’t give us any advantages as we trudge along. We aren’t given any bonus points and we don’t get to skip. We just need to continue to walk, one foot in front of the other, and make it all count. In the end, even the projects that end up in the trash bin can still provide amazing rewards. Again, speaking from experience, some of those (failed) projects are some of the things that I am personally most proud of. Onward, upward, and beyond.

Derrick Taylor, had been in the banking industry for 20 years and the payments technology industry for a decade until he tired of the corporate minutia and what he describes as a broken payments technology system. Last year, he struck out on his own to launch Global 1 Solutions, and he’s trying to fix a system that he believes takes advantage of merchants. Payments technology is another term for credit card processing, and Taylor explains why he believes the industry is broken. “A lot of companies are overcharging merchants,” he says. “They’re charging junk fees, padding rates, and not educating merchants on the true costs of what they’re processing.” Taylor, president of Global 1 Solutions, hopes to bring more integrity to the industry by simplifying statements and, as a local business, servicing merchants face to face. “We’re local, so we’re here for you if your terminal breaks down or you need an extra terminal. You won’t have to call a long-distance helpline, and there’s something to be said about that,” he says. “I live in this community. These are places I go to eat, my dentist — they’re all friends,” he says. “This is just about doing the right thing.” Global 1 Solutions serves any business that accepts credit cards, from restaurants to retail to doggy daycares. The company also processes electronic checks, e-commerce, and it will provide gift card services, loyalty programs, and point-of-sale equipment, as well. “We have a simple, transparent model,” he says. “Our statements are transparent. We educate merchants on what to look for on their statements. Merchants won’t see rate creep with us, or junk fees.” Global 1 Solutions was funded entirely through Taylor’s savings, with the bulk of the startup costs going to marketing and registering with Visa and MasterCard, plus getting a required background check. His team includes a four-person contracted sales force working in Racine, Madison, and Denver. Taylor hopes to add another five to the roster in the second quarter of 2017. “My whole mission and reason for existence is to help the mom-and-pop companies,” he says. “They’re the ones not getting the fair shake. Large, big-box chains are getting the favorable pricing and they don’t get charged the junk fees that small businesses often pay.” Just how much savings Taylor’s company can bring to a business varies widely, he notes, based on the size of a business or its volume and merchant card types. Global 1 Solutions’ pricing is based on a wholesale pricing grid designed by Visa and MasterCard. On top of that pricing, which he cannot control, his company charges customers a flat fee. “There are hundreds of different rates out there based on card type. If I use my reward card in one business, that card will carry a separate rate versus a debit card, or a signature-based rewards card, or a business credit card.” Sometimes, he explains, the amount Global 1 Solutions can save a company will cover what a merchant might have to pay in cancellation fees, which is a sore spot for Taylor. “A lot of these banks package entire programs — deposits, mortgages, and merchant cards, for example — and when they do that, it’s hard for the merchant to break away. But that’s exactly why they do it — it holds the merchants hostage. A lot of these banks and processors aren’t going to like me because I’m not falling into that same step,” he admits. His biggest frustration is when he knows he can help bring savings to a merchant only to find that the merchant “is locked into a ridiculous contract term or their cancellation fee is unheard of. I’ve seen cancellation fees as high as $10,000! Who wants to pay that?” Merchants should be savvier when they strike such deals, he advises, noting that Global 1 Solutions doesn’t offer contracts. “If you’re doing the right things for merchants and truly have their business in your best interest, why have a contract term?”
